How to let other users refresh queries and dashboard data updated

Hi everyone,

I used ODBC to link the data source in power query and built a dashboard and some tables so others can have a straight data visualization. I have also added a button 'update queries' for data updated. The file is saved in a shared folder within the organization. 

My question is can others (within my organization) who have access to the folder open the file and click the 'update queries' button, then the dashboard gets updated. Do they need to enter their credentials of data source access? or What is the best practice?

Hi Tina,

There's no standard for ODBC connections as it depends on the source, but I'd expect that users will need to edit the credentials in order to refresh.

Hi Mynda

If any user does not have the access to certain database, it seems like he can't refresh the query. 

Is there any better way to refresh the excel file automatically without opening it? or publish the the file (we don't use Power BI here) so others can get the updated dashboard?

Hi Tina,

The file must be opened for the refresh to execute. You could possibly write some VBA in another workbook that you keep open on your PC that opens the file containing the query and refreshes, saved and then closes it for you at certain times, but I don't have any tutorials I can point you to that explains how, sorry.
