I am trying to preserve the font formatting on all the pivot rows and values fields (we use Calibri) but am losing the formatting when I use a filter to change the rows shown in the data. (it reverts to Aerial). I have โ€˜preserve cell formattingโ€™ on.

The wb will have 30+ pivots in it so do need to crack this annoying issue. There must be a simple fix which is eluding me!

Did you apply the font while a filter was in operation? If so, you can then end up with different formatting on new rows that appear due to other filter combinations (they use the Normal cell style settings).

Yes there was a filter on - but the pivot table has large number of rows without filters and there are a variety of filter combinations for different pivot tables in the wb. Is there not a way of setting and preserving the whole table to same font/font size? It can apply to whole wb if needed.

Hi Chris,

I think what Velouria is alluding to is to clear all filters, then set the formatting, then reapply the filters as required. This will apply the formatting to all possible permutations of filtered states so that when you change the filters, the formatting is recalled.

So.. the way I format the table at the moment (which seems rather clumsy..) is to highlight as much of the table as I can by selecting a row, hovering around until the cursor changes to a horizontal arrow (when it has highlighted all the data fields) and then dragging the cursor down over as many rows as I can. I try and make the pivot table fit my window - if it extends below, it often won't let me drag the cursor to the bottom of the table - so minimising the size of the table to make it fit on the screen helps.
The pivot is in compact format and it won't let me highlight the subtotals at the same time - so I need to select these and format them separately.
If I have 500 rows in my unfiltered pivot the suggestion to format on the unfiltered version is not really going to work. And will this break the formatting as soon as I add in another row/field?
I don't think I can set the font in Pivot Styles. Correct me if I'm wrong but I don't think you can apply font size or font type in styles (options are greyed out)
Is there not a way of setting the font format for the whole workbook to my desired standard (Calibri 12) and then I just need to fiddle about to get the sub total font size right which shouldn't be affected by changing the filters.

As I mentioned, I have about 30 pivots in this workbook - so the formatting issue is becoming a bit of a paint point..

If you format the Normal cell style to use whatever font you like, that will be the default for all cells unless specified otherwise.

Thank you Velouria - that was the simple hack I was looking for and it was under my nose the whole time! That is going to save a heap of tears. And it looks like the Styles menu in the worksheet seems to override the default Font/size set in File/Options/General/When creating new workbooks. Can't believe I'm learning something so basic and so useful so many years on..
